Privacy Policy

This private portal is operated by the volunteer coordinator of the Prairie High School Class of 2027 group trip (“Senior Hawks 27,” “we,” “us”). It exists solely to organize a family travel group. This policy explains what information we collect and how we use it.

Information we collect

• Parent/guardian name, email address, and mobile phone number.
• Student name and the names of guests staying in your room.
• Trip details you provide: number of nights, occupancy, room preference, and special requests.
• Emergency contact name and phone number.
• Whether you opt in to SMS trip updates.

How we use your information

• To reserve and coordinate rooms for the group trip.
• To communicate trip logistics, deadlines, and payment reminders.
• To send SMS trip updates only if you opt in (see below).
• To match your card payments to your family reservation.

Payments

Card payments are processed securely by Stripe. We do not collect, see, or store your full card number, CVC, or bank details — that information is handled entirely by Stripe under its own privacy and security practices. We only receive a confirmation that a payment was made and the family code you provide at checkout.

SMS / text messaging

If you opt in to text updates, you agree to receive occasional SMS messages about the trip (roughly 2–6 messages per month). Message and data rates may apply. Consent is not a condition of registration. Reply HELP for help or STOP to unsubscribe at any time. We do not sell or share your phone number, and we do not use it for marketing unrelated to this trip.

How we store information

Registration responses and balance records are stored in Google Forms and Google Sheets accessible only to the trip coordinator. We keep your information only as long as needed to organize and close out the trip, then delete it.

Sharing

We do not sell your information. We share it only as necessary with the resort/booking partner to fulfill your reservation, and with Stripe to process payments.

Children’s information

Because this is a family trip, we collect the names and counts of minors traveling in your room. This information is provided by a parent or guardian and used only for reservation purposes.
